Who are they?

Established in 2003, Hays Hydraulics carry out repairs to hydraulic rams and cylinders. Hays’ main workshop facilities are located in Aberdeen, however they also carry out repair work worldwide. Hays Hydraulics have two companies, Hays Hydraulics Supplies Ltd and Hays Hydraulic and Mechanical Services Ltd. They provide on-site service and troubleshooting to industries such as oil, marine and plant hire. Hays specialise in the service and repair of plant and hydraulic equipment.

Hays Hydraulics and Mechanical Services purchase stock from Hays Hydraulics Supplies for their repairs processing. Our assessment identified that their systems were not integrated, did not manage their repairs service and required a facility for the relevant sales and purchase orders to be exchanged between companies.

As the two companies purchase stock from one another, a purchase order had to be created in the Services company and a related sales order generated in the Supplies company. This meant a purchase order had to be created with no visibility of available stock and then passed to the Supplies company who would then create a sales order.

System Integration

To resolve these issues, we firstly upgraded both companies to Sage 200 and implemented our Warranties, Service and Repairs module. Alongside this we installed Data Exchange to import and export information between the two companies.

We customised Data Exchange to suit the companies’ unique requirements, allowing both companies to see stock availability. We also modified the Warranties, Service and Repairs module to automate the sales and purchase order processes between the two companies.

Thanks to our bespoke customisation, Hays now have complete visibility of their stock items. This allows them to check stock availability for their repairs service. The automation of the purchase and sales orders between the companies saves Hays Hydraulics a considerable amount of time and reduces data errors by removing the duplication of work.
