Who are they?

Kelvin Power Tools Ltd is a retail and wholesale supplier of power tools and accessories. The business concentrates on the industrial market, offering premium brands such as Bosch, DeWalt, and Panasonic.  The business was founded in 1977 as a power tool repair company by MD John Breslin. Today, the company has grown to be a significant player in the power tool market.

Kelvin Power Tools required a solution which allowed their customers to have an Alias for their account. This was necessary as Kelvin were issuing customers with cards which had unique barcodes, therefore needed the functionality to link each card to the relevant customer in their Sage 200 system.

Kelvin wanted the capability to scan a customers’ card in store from the enter new sales order screen, which would then trigger Sage to locate the relevant customer and populate the sales order with the customer account.

As Kelvin have a high volume of customers it was proving time consuming to manually search customer details. Commissioning a bespoke solution would allow them to quickly and easily link barcodes to individual customer accounts.

Customer Alias

At Eureka Solutions, we carried out a full consultation with Kelvin to discuss the challenges they were experiencing in order to create an action plan of how we could address these issues. This resulted in numerous bespoke amendments being made to their Sage 200 system, which allowed Kelvin to create aliases against customer accounts.

Firstly, we created an additional field within the new and amend customer forms on Sage 200, to store the customer alias. This field enables Kelvin to manually type or automatically populate the alias when a barcode is scanned. This alias must not match any existing customer reference numbers or any account aliases. Users will be alerted of any duplicates and advise a new alias must be created.

We were also able to apply custom modifications to the customer lookup which allowed this to be populated with the customer alias. Again, this can be manually entered or scanned using a barcode reader. Sage will firstly check if there are any customer accounts with this reference, if none are found our modified lookup will check customer accounts for the alias and automatically generate a sales order with the relevant customer details.

Our bespoke customisations resulted in huge time savings. Kelvin are now able to quickly identify customers by scanning their barcoded cards, which are then automatically populated in their Sage 200 account. This streamlined process allows Kelvin to provide a more efficient and professional level of service, improving customer relationships.

This process also reduces errors within Kelvins’ systems as they can no longer pull through incorrect customer details, or manually search customers using postcodes and names. Scanning client barcodes allows users to quickly identify customers, and as these are unique, be ensured there are no errors in ordering or amending customer accounts.
